CIVIL OS ships with 17 integrated modules: Dashboard, Projects, Site Operations, Tender Management, Quotations, Documents, CRM, Clients, Inventory & Procurement, Equipment & Vehicles, Finance, Workforce, Quality Control, Safety Management, Subcontractors, Reports & Analytics, and Settings. Each module is role-based and can be enabled per company.
Site engineers submit Daily Progress Reports with work done, labour breakdown by skill, equipment used, materials consumed, weather, delays, accidents and photos. Reports go through a Draft → Submitted → Approved/Rejected workflow. Additional tabs include Site Diary, RFI Management, Inspections, Site Photos, Visitors Log and Materials Receiving — all branch-filtered.
Yes. The Equipment module includes a fleet register with depreciation tracking, maintenance logs with next-due alerts, fuel consumption tracking, and live GPS tracking with Leaflet maps — engine ON/OFF status, speed monitoring and 24-hour location history for every equipped vehicle.
The finance module covers the full cycle: quotation builder with services/items, tax and advance calculations → convert to invoice → track payments and overdue. There's also expense tracking with real-time budget vs actual comparison (80% warning / 100% critical alerts), and integration with project budgets. Supports NPR and USD currencies.
Absolutely. The Subcontractors module manages the full lifecycle: subcontractor onboarding with trade specialty and license/insurance tracking, work orders with retention %, progress reporting, invoicing against WOs with retention deduction, a performance rating system (quality, safety, timeline, communication), and document storage (contracts, insurance, licenses).
The CRM uses a Kanban pipeline: Leads → Qualified → Proposal → Negotiation → Won. Each lead stores company, contact, project type, estimated value and source. You can log communications (calls, emails, meetings, WhatsApp), create proposals with file uploads, drag-and-drop between stages, and convert won deals to clients with one click.
The Workforce module covers the full employee lifecycle: employee directory with departments and designations, daily check-in/check-out attendance with working hours tracking, payroll processing with overtime/deductions, leave management with approval workflow, and field reports including site check-ins, material requests, issue reports and photo uploads.
The Inventory module tracks materials by warehouse with auto-status (In Stock/Low Stock/Out of Stock) based on reorder levels. Purchase orders go through Pending → Approved → Delivered workflow — on delivery, material stock updates automatically. Low stock and out-of-stock alerts are triggered via the notification system and cron jobs.
Yes. QC covers tests (pass/fail with target values) and inspections with severity tracking. Safety includes a Days Without LTI counter, incident reporting with root cause and corrective actions, PPE inventory with issue/return tracking, toolbox talks with attendance logging, and safety inspections with violations tracking and compliance scoring.
The Reports module offers 7 report types: Executive Overview (revenue, margin, project status), Financial Summary (receivables, payables), Project Progress (budget vs actual), Workforce Productivity (attendance, hours), Material Consumption (stock valuation), Client Status (outstanding amounts), and Weekly Site Report — all exportable to CSV, Excel or PDF.
CIVIL OS is multi-tenant. A Super Admin manages companies, each company can have multiple branches. All data — projects, leads, inventory, equipment, workforce — is branch-filtered. Branch requests go through an approval workflow, and users can switch branches from the topbar.
Role-based access control with 5 default roles (Admin, Project Director, Project Manager, Finance Manager, HR Manager) and granular permission toggles per module. Features include password policies (min length, expiry, complexity), session timeouts, max login attempts, audit logs for every action, and optional on-premise deployment.
Yes. The Quotation Builder supports multiple currencies (NPR/USD), custom tax %, advance %, payment terms, delivery timeline, and professional PDF generation with your company logo. Quotations can be converted to invoices with one click. Payment methods include bank accounts, QR codes and Stripe links.
